1. Who We Are

The Civic Infrastructure Cooperative ("CIC," "we," "us," or "our") is a Texas-based cooperative engineering firm that develops and operates AccessTwin™, an ADA infrastructure intelligence platform. Our principal office is located in Dallas-Fort Worth, Texas. This Privacy Policy describes how we collect, use, disclose, and protect information when you visit our website (accesstwin.com), use the AccessTwin™ platform, or otherwise interact with us.

2. Information We Collect

Information you provide directly. When you request a demo, contact us, or create an account, we may collect your name, title, organization name, email address, phone number, and any information you include in a message to us.

Platform data. When agencies use the AccessTwin™ platform, the platform stores infrastructure data (GPS coordinates, photographs, condition assessments, design records, construction documentation) entered by authorized agency personnel. This data belongs to the agency, not to CIC. See Section 5.

Automatically collected data. Our website may collect standard server log information including IP address, browser type, referring URL, and pages visited. We use this data in aggregate to understand site usage. We do not use tracking pixels, behavioral advertising cookies, or third-party analytics platforms that share data with advertisers.

3. How We Use Information

We use the information we collect to respond to demo requests, provide and improve the AccessTwin™ platform, communicate with agencies about their accounts, fulfill contractual obligations, and comply with legal requirements. We do not sell personal information to third parties. We do not use personal information for targeted advertising.

4. Information Sharing

We do not share personal information with third parties except as follows: with your consent; to comply with a legal obligation, court order, or lawful government request; to protect the rights, property, or safety of CIC, our users, or the public; or with service providers who perform functions on our behalf under contractual obligations of confidentiality (such as cloud hosting providers).

5. Agency Data Ownership

Infrastructure data entered into the AccessTwin™ platform by agency personnel remains the exclusive property of the agency. CIC does not claim ownership of agency data. Each agency's data is strictly isolated using row-level security and is not accessible to other agencies; dedicated single-tenant deployments are available for agencies with enterprise or security requirements. Agencies may export their data at any time in standard formats (CSV, JSON, PDF). Upon termination of a contract, CIC will provide a complete data export to the agency and delete the agency's data from our systems within 90 days.

6. Data Security

We implement industry-standard security measures including AES-256 encryption at rest and in transit, multi-factor authentication for all platform users, role-based access controls, complete audit trails, and SOC 2-compliant cloud infrastructure. No method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

7. Data Retention

We retain personal information collected through our website (such as demo request submissions) for as long as necessary to fulfill the purpose for which it was collected or as required by law. Platform data is retained for the duration of the agency's contract plus 90 days for data export, unless a longer retention period is required by the agency's records retention policy or by law.

8. Your Rights

You may request access to, correction of, or deletion of your personal information by contacting us at privacy@cicdfw.com. We will respond to your request within 30 days. Agencies may exercise data rights on behalf of their personnel through their designated account administrator.

9. Children's Privacy

Our website and platform are not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised policy on this page with an updated effective date. Material changes will be communicated to agencies through their designated contacts.
